Task Management Software for Juggling Work, Home and Side Projects

For Whom/What:

Freelancer who's juggling work, home and side projects

Requirements:

Easy to view my daily, weekly, and monthly tasks in one place

Ability to set recurring tasks (with flexibility — like “every 3rd Friday” kind of stuff)

Must work across desktop and mobile, with smooth syncing

Project/category organization (I need to separate work, personal, and household tasks)

Light learning curve — I don’t want to spend hours customizing

Extra Details:

I’m looking for recommendations for a task manager that actually sticks. I’ve bounced between a few, but none have fully clicked for me. I’m a working parent trying to balance a full-time job, home responsibilities, and a couple of personal projects on the side — so I need something that’s both intuitive and reliable.

TickTick is my secret weapon. It's like Todoist but with built-in Pomodoro, habit tracking, and a really nice calendar view. Great for people juggling multiple roles.

What really sold me:

  • Built-in Pomodoro timer: This is low-key my favorite feature. I can time-block tasks and stay focused with minimal friction.

  • Custom smart lists & tags: I’ve got separate spaces for “Work,” “Home,” “Errands,” “Personal Goals,” etc., and smart lists filter everything exactly how I like.

  • Clean calendar view: You can drag and drop tasks onto a calendar and actually visualize your week. It syncs with Google Calendar too.

  • Recurring tasks are flexible: Like “every 2nd Thursday” or “every 3 days after completion.” Super helpful for stuff like garbage day or checking in on monthly reports.

  • Cross-platform: I use it on Mac, iPhone, and iPad — and it syncs seamlessly. There’s even an Apple Watch app.

They’ve recently added habit tracking, which helps me keep an eye on daily routines (like reading, vitamins, or even ‘no social media’). And the UI is clean but not sterile. It just makes you want to open it and get stuff done.

If you're juggling work, personal life, and maybe some side hustle or parenting chaos — give TickTick a real shot. I stuck with it longer than any other app so far, and I’m still going strong.

Try Akiflow.

I've been using it for the past 6 months, and honestly, it’s the first task manager that’s actually made me feel in control of my day.

I was bouncing between Notion, Todoist, and my Google Calendar, constantly juggling tabs and still missing tasks. Akiflow changed that. It’s like having a command center where everything flows together — email tasks, Slack pings, calendar events, and personal to-dos — all in one daily planner.

Some features I love are:

1) Calendar + Tasks in One View: You drag and drop tasks right onto your calendar. I love visually planning my day this way — I can see if I’m overcommitting or where I have buffer time.

2) Command Bar: You can quickly add tasks, snooze, reschedule, or jump to a project with keyboard shortcuts. It’s blazing fast.

3) Universal Inbox: It pulls tasks from Notion, Gmail, Slack, etc., and lets you triage everything in one place. It cleared my mental clutter big time.

4) Time Blocking by Default: This has helped me actually do the tasks I plan instead of endlessly rewriting them on tomorrow’s to-do list.

I use it daily to balance work meetings, focused deep work time, and even life stuff like “groceries” or “call the vet.” It nudges you gently without being overbearing. I genuinely check it first thing every morning — which I’ve never done with any other app consistently.

It’s not the cheapest tool, but if you're someone juggling work and personal life, especially with meetings and recurring tasks, Akiflow is worth it. It made my time feel intentional again.
